Overview

To ensure smooth operations, configure the system in the following order.

graph TD    A[Step 1: Setup Categories] --> B[Step 2: Add Menu Items & Meals]    B --> C[Step 3: Setup Floors & Tables]    C --> D[Step 4: Create Staff Accounts]    D --> E[Ready for Daily Operations]

Step 1: Menu Categories Configuration

Categories group items on the Point of Sale grid and dictate how orders route to preparation screens.1. Log in as a Manager or Super Admin and select Categories from the sidebar.2. Click Add Category (e.g., "Main Dishes", "Desserts", "Cocktails", "Soft Drinks", "Wines").3. Select an icon for the category card.4. Routing Selector (Food vs. Drink): - Check the "This is a food category" box if the items are prepared in the kitchen. - Leave it unchecked for beverage and drink items. - How it works: Items marked as food route to the Kitchen Display (KDS). Unmarked items (drinks) route to the Bar Display (BDS).

Step 2: Add Menu Items & Meals

Set up the catalog of products ready for sale.1. Navigate to Menu or Meals in the sidebar.2. Click Add Menu Item.3. Fill in the details: - Name: (e.g., "Beef Burger" or "Club Sandwich") - Category: Assign it to a category configured in Step 1. - Price: Set the sales price (formatted in your base currency). - Available Quantity: Enter the initial quantity available on hand. If this drops to zero, the item displays as "Out of Stock" in the POS grid and cannot be selected. - Image Upload: Upload a clear photo. Files are limited to 5MB and are cropped into a square for the POS grid.4. Variations: Add sizes or options (e.g., "Single" vs "Double" portion) with custom price additions.

Step 3: Establish Floors & Tables

In the Floor Management view, you can drag and drop tables to reorder their layout or assign waitstaff to specific floors.

Step 4: Add Staff Accounts

Create credentials for the team members operating the system.1. Navigate to Staff in the sidebar and click Add Staff Member.2. Input their name, email (which acts as their login username), and phone number.3. Select their structural Role (e.g., Waiter, Cashier, Chef, Bartender, Accountant).4. If the role is Waiter, select their assigned Floor. This focuses their terminal view to only show tables on that floor.5. Save the profile. Instruct the new staff member to sign in using their email and the temporary password, which they will be immediately prompted to replace.

8. Daily Operations & Interactive Workflows

Overview

This section outlines the operational loops executed by waitstaff, preparation staff, cashiers, and managers during a shift.

Workflow A: Order Placement (Waitstaff)

  1. The Waiter opens the Tables dashboard. They will see tables color-coded by status:
  2. Green: Available.
  3. Red: Occupied (has an active order).
  4. Orange: Reserved or needs cleaning.
  5. Click on a Green (Available) table. The interface opens the POS screen with that table locked in.
  6. Select products from the categorized grid on the left. Selected items populate the order ledger on the right.
  7. Adjust quantities, tap item listings to add special cooking instructions or preparation notes (e.g., "Medium-rare", "No ice"), or apply discounts.
  8. Tap Place Order.
  9. The order status switches to "Pending".
  10. The table card turns Red (Occupied).
  11. The kitchen items route to the KDS, and drink items route to the BDS.

Workflow B: Order Preparation (Kitchen & Bar Staff)

  1. Chefs open the Kitchen Display (KDS) and Bartenders open the Bar Display (BDS).
  2. New tickets appear in the Pending column, sorting oldest-first to prevent long wait times. An audio notification plays when a new order arrives.
  3. When preparation begins, drag the ticket card to In Progress (or click the "Start" action on the card).
  4. Once preparation is complete:
  5. Move the card to Ready (or click "Mark Ready").
  6. An audio alert triggers at the cashier/waiter station, alerting them that items are ready for pickup.
  7. The items remain in the "Ready" column until the checkout payment is complete.

Workflow C: Billing & Checkout (Cashier)

  1. When a table requests their check, the cashier or waiter clicks on the Red (Occupied) table in the Tables view.
  2. Verify all ordered items in the billing summary. If needed, click Modify Order (requires Manager credentials if items are being removed).
  3. Click Charge Order to open the payment processor.
  4. Select the payment method:
  5. Cash: Enter the cash received. The system displays the change amount due.
  6. Card / Bank Transfer: For card machine transactions.
  7. Mobile Money: Select Orange Money or MTN Mobile Money and document the transaction reference.
  8. Apply split payments if a group wants to split the bill between cash and card.
  9. Click Confirm Payment.
  10. The transaction is recorded in the local database.
  11. The table status resets to Green (Available).
  12. The receipt PDF renders and prints to the thermal receipt printer.

Workflow D: Splitting & Merging Bills (Manager Only)

Managers can split or merge tables to accommodate changing guest arrangements.1. Navigate to the Orders screen to view all active, unpaid tickets.2. To Split an Order: - Select the target order and click Split Order. - A modal displays the list of ordered items. Check the boxes next to the items to split. - Select a destination table. Click Confirm Split. The selected items will be moved to a new order under the target table.3. To Merge Orders: - Click Merge Orders. - Select the source table and the destination table. - Click Confirm Merge. The orders are combined, and the source table is cleared and marked as available.

Workflow E: Cancellations & Reactivations (Manager Only)

  1. To cancel an active order, a chef or bartender can drag the order ticket to the Cancel Drop Zone at the bottom of the KDS/BDS screen. Waiters can also cancel orders from the active POS view.
  2. Cancellations require a reason for audit tracking (e.g., "Customer left", "Input error").
  3. All details are saved to the Activity Log for auditing.
  4. Reactivating Orders: If an order was canceled in error, a Manager can navigate to the Orders tab, locate the canceled order, and click Reactivate within a 24-hour window. This returns the ticket to "Pending" and restores the table's occupied status.

9. Stock & Supplier Management

Overview

LoungeOS provides tools to manage stock items (such as bottled sodas, wines, beers, and finished packaging) and trace operational stock movements.

Inventory Dashboard

Navigate to Inventory in the sidebar to review:- Total Stock Value: Calculations based on current quantities on hand multiplied by unit costs.- Low Stock Warnings: Automatically lists items that have dropped below their defined minimum alert thresholds.- Out of Stock Lists: High-priority red alerts for items with zero stock remaining.- Stock Movement Timeline: Charts showing historical stock inputs (receivals) and outputs (sales/damage).

Creating Stock Items

  1. From the Inventory page, click Add Stock Item.
  2. Configure the parameters:
  3. SKU: Input a unique stock-keeping identifier (or auto-generate one).
  4. Name & Description: (e.g., "Heineken Bottle 33cl")
  5. Category: (e.g., "Beverages", "Spirits", "Containers")
  6. Unit of Measurement: (e.g., "Bottles", "Boxes", "Liters")
  7. Current Stock Level: The physical count currently in the building.
  8. Min/Max Stock Levels: Set the minimum threshold to trigger low-stock alerts.
  9. Cost Per Unit: The wholesale acquisition price paid to the supplier.
  10. Supplier: Map the item to one of your configured suppliers.

Stock Movement Transactions

To adjust stock manually due to reasons other than standard sales:1. Select one or more items using the table checkboxes and click Bulk Move (or select Adjust Stock on an individual item).2. Select the transaction type: - Stock In: Record incoming stock from a supplier delivery. Enter the quantity and unit cost. - Stock Out (Damage/Waste/Loss): Document inventory that is broken, spoiled, or stolen. This decreases the stock level and logs the cost as an operational expense. - Cost Correction: Correct pricing records without altering quantity counts.3. Save the entry. The system updates the stock quantities and logs the movement in the audit ledger.

Supplier Registry

Keep a directory of partners for stock replenishment:1. Navigate to Suppliers in the sidebar.2. Click Add Supplier and input their details: Business name, Contact person, phone number, email address, and physical location.3. Click View Items on any supplier card to see the catalog of stock items mapped to them.

Bulk File Actions

Under the File Actions dropdown menu on the Inventory page:- Download Template: Get a blank CSV template pre-configured with headers.- Import from CSV: Upload a populated CSV spreadsheet. The importer validates columns and creates categories automatically if they do not exist.- Export Movement Ledger: Export inventory logs within a custom date range as a PDF or CSV spreadsheet, featuring your company logo and header.

10. Accounting & Financial Integration

Overview

LoungeOS uses a double-entry ledger system. This converts daily operational sales and stock expenses into financial journals.

       [POS Sales Transaction]                 [Stock-In Purchase]                 │                                      │                 ▼                                      ▼     [Sales Accounts Revenue]               [Inventory Asset/Expense]                 │                                      │                 └───────────────► ─── ◄────────────────┘                                    │                                    ▼                       [Sync Accounting Data Action]                                    │                                    ▼                       [Double-Entry Balanced Journals]                        (Debits == Credits Verification)                                    │                                    ▼                       [Automated Financial Reports]                       (P&L, Balance Sheet, Cash Flow)

Double-Entry Validation

Every transaction in the financial ledger is recorded using balanced accounts. Manual journal adjustments validate that the sum of debit lines equals the sum of credit lines. The system will prevent you from saving unbalanced manual journal entries.

Chart of Accounts (COA)

The Chart of Accounts organizes all financial records into five categories:1. Assets: Cash on Hand, Bank Accounts, Inventory Assets.2. Liabilities: Supplier Payables, Accrued Taxes.3. Equity: Owner's Capital, Retained Earnings.4. Revenue: Food Sales, Beverage Sales, Event Services.5. Expenses: Inventory Costs, Rent, Utilities, Staff Wages, Waste/Loss Expenses.

You can create custom child accounts under parent accounts to structure your ledger.

The Synchronized Entry System (POS & Inventory Sync)

Instead of entering sales and expenses manually, LoungeOS automates ledger entries:1. Navigate to the Reports or Accounting screen.2. Click Sync Accounting Data and select the target date range.3. The system scans all paid POS orders and recorded Stock-In purchases.4. It creates balanced journal entries automatically: - For Sales: Debits Cash/Bank Account and credits Sales Revenue. - For Purchases: Debits Inventory Asset / Cost of Goods Sold and credits Cash/Accounts Payable.5. Once synced, these transactions populate your financial reports in real-time.

Financial Statements

LoungeOS generates three key financial statements, filterable by custom date ranges and exportable to CSV or PDF:- Income Statement (Profit & Loss): Compiles all sales revenues, subtracts Cost of Goods Sold (COGS) and operational expenses, and displays Net Profit and Profit Margins.- Balance Sheet: Compiles assets, liabilities, and equity, confirming that $Assets = Liabilities + Equity$.- Cash Flow Statement: Tracks cash inflows and outflows across operating, investing, and financing activities.

11. System Customization & Settings

Overview

Authorize system parameters through the Configuration dashboard. Access is restricted to Managers and Super Admins.

Financial Configurations

  • Currency Manager: Set your default operating currency (default is XAF - Central African CFA Franc). You can select from pre-configured options (XAF, USD, EUR, GBP, NGN, GHS) or add custom currencies. You can also configure the currency symbol position (before or after the number).
  • Tax Rules: Toggle tax calculations on or off. You can define multiple tax rates (e.g., VAT 19%, GST 10%, PST 5%) and set a default rate for POS billing checkout.
  • Discounts: Enable or disable discount codes. Pre-configure discount rules (percentage-based or fixed amounts) that cashiers can apply to bills.

Branding Customization

  • Business Profile: Edit your business name, address, phone number, and operating hours. This information is dynamically pulled into receipt headers and financial reports.
  • Receipt Layouts: Add custom header greetings, thank-you messages, and upload a version of your logo to print on thermal receipts.
  • Login Customization: Upload background photos to cycle as a slideshow on the login screen.

Security Auditing & Logs

Select Activity Log in the sidebar to review all system modifications. The log records:- User logins, logouts, and failed authentication attempts.- Created, modified, or deleted staff accounts.- Transaction creations, manual stock adjustments, and order cancellations (including the input reason).- Database backup actions and configuration changes.

Logs can be searched by keyword or filtered by date range and user account.

Backup & Disaster Recovery

  • Manual Backups: Click Backup Database to download an encrypted .db file containing your entire setup. Save this to an external drive or secure cloud storage.
  • Restoring Data: If a hardware failure occurs, install LoungeOS on a new computer, navigate to the restore panel, upload your backup file, and click Restore.

[!CAUTION]Restoring database snapshots completely overwrites the existing database. This action cannot be undone.

Internal Support Tickets

If staff encounter hardware or software issues, they can use the ticketing system:1. Navigate to Support and click Create Ticket.2. Assign a priority (Low, Medium, High, Urgent) and category (e.g., "IT Support", "Kitchen Equipment", "Facility Maintenance").3. Managers can assign tickets to specific team members, update their status (Open → In Progress → Resolved), and add comments to track progress.

12. Troubleshooting & Frequently Asked Questions (FAQ)

Q: The application shows a "Database Locked" (SQLITE_BUSY) warning. How do I fix it?

A: This happens if multiple processes attempt to write to the SQLite database file simultaneously. Ensure that you are running only one instance of the LoungeOS application at a time. If the app freezes, open the Task Manager (Windows) or Activity Monitor (macOS) and end any duplicate background LoungeOS processes.

Q: Why aren't beverage orders appearing on the Kitchen KDS screen?

A: LoungeOS uses smart routing. Verify the category configuration under the Categories tab. Drink categories (such as Wine, Soft Drinks, or Cocktails) should have the "This is a food category" checkbox unchecked. This routes them to the Bar Display System (BDS) instead of the Kitchen Display (KDS).

Q: How can multiple tablets connect to the same server?

A: Ensure the host computer is connected to your local Wi-Fi router. Find the host computer's local IP address (e.g., 192.168.1.15). Verify that the host's firewall allows incoming connections on port 2304. On your tablets, open the web browser and navigate to: http://192.168.1.15:2304.

Q: An uploaded image is not displaying on the POS product grid.

A: Verify that the image file size is under 5MB and is in a standard format (.png, .jpg, .jpeg, or .webp). Also check that the server process has read/write permissions for the uploads/ directory inside the project root folder.

Q: How do I change the default currency symbol?

A: Log in as a Super Admin, navigate to Configuration, click the Financial settings tab, and look for the Currency section. Select your currency from the dropdown or click "Add Custom Currency". Once set as the default, all menus, reports, and receipts will display the new symbol.

Q: Why are my financial statements showing zero values after processing sales?

A: POS transactions do not write directly to the accounting ledger to prevent performance lags. To populate your financial statements, go to Reports or Accounting and click Sync Accounting Data. Once the sync completes, all sales and purchase records are processed into journal entries, and your financial statements will update.
